Agilus is recruiting for a Administrative Coordinator (Bilingual – English & French) in the Higher Education / Academic Administration sector in a hybrid work environment in Halifax, Nova Scotia.

You’ll ensure daily activities run smoothly, provide frontline assistance, and help maintain efficient, well-supported programs.

A typical day:
  • Provide front-line service and support to students, faculty, and visitors of the Department of French.
  • Coordinate daily departmental operations, ensuring smooth workflows and timely communication.
  • Manage academic program administration, including course scheduling, undergraduate/honours processes, and academic deadlines.
  • Oversee personnel and payroll transactions, following university procedures and timelines.
  • Support budget monitoring, financial processes, and purchasing activities.
  • Maintain departmental records, policies, physical resources, and office supplies.
  • Assist with the planning and coordination of departmental events, projects, and initiatives.
  • Serve as a key administrative partner to the Department Chair and faculty members.

Successful candidates will have:
  • Business/Office Administration diploma and 3–5 years of related experience (or equivalent combination).
  • Proficiency in French and English — written, spoken, and reading.
  • Strong administrative skills, including financial processing, budget monitoring, and office communication.
  • Experience delivering excellent client service to students, faculty, or the public.
  • Proven ability to coordinate workflows, events, processes, and operational tasks.
  • High proficiency with MS Office (Word, Excel, PowerPoint, Outlook), Acrobat, and web-based systems. Asset skills: experience in post-secondary environments, familiarity with academic policies, and basic project management.
  • Bonus knowledge: Banner, Timetable Assist, FAMIS, Finance Self-Serve, Navigator, and understanding of collective agreements (CUPE, NSGEU, DFA).
