Permanent Administrative Assistant – Be the Backbone of a Dynamic Retail Property Team
Agilus is recruiting for an Administrative Assistant in the Property Management industry in Victoria, British Columbia.
Agilus Work Solutions is recruiting a permanent Administrative Assistant to support the on-site leadership team at a large, high-profile retail property in Victoria. This role is ideal for a proactive professional who thrives in a fast-paced environment and enjoys being the organizational hub of a busy operation. You’ll work closely with senior leadership, vendors, and tenants while contributing to the smooth day-to-day operations of a vibrant commercial property.

Total rewards:
  • $50000.00 - $52000.00 annually
  • 3 weeks of paid vacation
  • Employer-paid phone
  • Health & Wellness spending account ($500 annually) on top of benefit plan
  • Standard Monday–Friday, 9:00 am–5:00 pm schedule

A typical day:
  • Organize and maintain lease files, contracts, and property documentation
  • Coordinate vendor and tenant insurance requirements (OHS, WCB, etc.)
  • Process expense reports and support credit card reconciliations
  • Assist with utility billing and reconciliation
  • Support tenant coordination and document preparation
  • Prepare presentations, reports, and written communications
  • Manage office administration including mail, couriers, filing, and supplies
  • Coordinate meetings, take notes, and prepare meeting minutes

Successful candidates will have:
  • Strong verbal and written communication skills
  • Positive, energetic attitude with a high level of professionalism
  • Excellent time management and organizational abilities
  • Ability to work independently and collaboratively in a fast-paced setting
  • Proficiency with Microsoft Office and Adobe programs
  • Experience with business writing, reports, and presentations
  • Strong attention to detail with critical thinking skills
  • Comfortable handling multiple priorities and shifting deadlines
