- Autonomy with support: Close collaboration with three PMs and a VP who stays engaged on performance, while trusting you to own outcomes.
A typical day:- Serve as the primary point of contact for all residential maintenance requests, ensuring timely triage and response.
- Assess and triage issues; ask diagnostic questions, determine the appropriate trade, and dispatch/schedule/coordinate contractors for service and repairs.
- Coordinate multi site work orders across single family homes, townhomes, and apartments; attend properties as needed to provide access, post notices, and perform basic inspections.
- Maintain proactive communication with tenants, the three Edmonton PMs, site teams, and vendors; provide clear status updates and follow through to completion.
- Prepare and distribute notices; maintain strict key control and related logs.
- Monitor and action shared inboxes (e.g., Reception) and ticket queues; keep records accurate in Yardi and Monday.com.
- Provide coverage/support for Site Teams and overflow administrative support for the Admin Team when required.
- Participate in the rotating after hours emergency response and escalate appropriately to the VP/PMs; ensure timely close out and documentation.
Successful candidates will have:- 3–4 years’ experience in maintenance coordination, property management, facilities, or tenant services, with strong coordination and customer service skills.
- Hands on aptitude: Basic understanding of electrical/plumbing/HVAC to ask the right questions, triage effectively, and address simple issues or arrange immediate access.
- Multi site readiness: Valid driver’s license and reliable vehicle; comfortable traveling between houses, townhomes, and apartment buildings as needed.
- Tech comfort: Quick software learner; experience with Yardi Voyager/RentCafe and Monday.com is an asset; Microsoft Office/Outlook/SharePoint/Excel (basic) required.
- Ownership & follow through: A self starter who closes the loop, communicates clearly, and brings a positive, professional presence.
- Calm in the pocket: Prioritizes well, de escalates tense situations, and thrives in a fast paced, service oriented environment.
- Team builder: Willingness to mentor and support site team members; collaborates seamlessly with PMs, vendors, and residents.
- After hours flexibility: Able to participate in the rotating emergency response schedule when required.
